New eZUS Functionality Launches March 31st
A new function within the eZUS system will be available from March 31, 2026, allowing employers to combat inaccuracies in employee documentation. The service enables employers to confirm the authenticity of an employee’s work history certificate in seconds.
Increased Demand for Work History Certificates
Interest in the new rules for calculating work history is high. Since the beginning of 2026, over 572,000 USP applications have been submitted to ZUS (Social Insurance Institution).
Verification Process Through ZUS
From March 31, 2026, employers have a new tool to verify documents submitted by employees. The ZUS website now offers a service to confirm the authenticity of insurance certificates issued upon employee request for the purposes of calculating work history (USP).
Reducing Risk of Fraudulent Documents
The new solution aims to reduce the risk of using altered or inauthentic documents and to facilitate the verification of data regarding employees’ insurance history.
How the ZUS Verification Service Works
The service is accessible on the ZUS website under “Search Engines and Services” as “Confirming the Authenticity of Certificates Issued Upon USP Request.” The document verification procedure is straightforward.
Automated Document Comparison
Upon submitting the file, the system automatically compares its content with documents in the ZUS database.
System Response Messages
After verification, the user receives one of two messages.
Addressing Verification Failures
In the second case, the cause may be a change to the document’s content after it was generated. To resolve the situation, the employee should contact the nearest ZUS branch.
Scope of the New Function
The new service applies exclusively to certificates issued upon USP request, which confirm periods of insurance needed to determine work history.
Limitations of the Service
The system does not allow verification of other certificates issued by ZUS, such as documents prepared on the US-7 form.
Changes in the Private Sector from May 1st
The launch of the new ZUS service is linked to the reform of work history calculation rules, introduced in 2026. The regulations are being implemented in stages to allow employers and payroll departments to adapt their systems.
Public Sector Implementation
The first stage of the changes affected the public sector. From January 1, 2026, employees of budgetary units can include additional periods of professional activity to their work history that were previously not considered.
Private Sector Impact and Benefits
For private companies, the new rules will take effect from May 1, 2026. The expanded definition of work history will affect, among other things, the amount of annual leave, seniority bonuses (if provided for in the remuneration regulations), jubilee awards, and other benefits dependent on length of employment.
Importance for Diverse Work Histories
The changes are particularly important for individuals who previously worked, for example, under self-employment or certain civil law contracts, as these periods may now be included in their work history.
Obtaining a ZUS Certificate for Work History
To confirm previous periods of professional activity, an employee must provide the employer with a ZUS certificate of insurance history. The document can be obtained by submitting a USP application in the eZUS system. The application is available exclusively in electronic form – a paper version is not possible.
Using the Certificate to Adjust Employee Entitlements
After generating the document, the employee downloads the PDF file from their eZUS account and provides it to the employer. Based on this, the employer can re-establish work history and correct resulting employee entitlements, such as annual leave, seniority bonuses, and jubilee awards (if applicable).
Is Employer Verification Mandatory?
There is no such obligation. However, the new service is designed to facilitate the verification of documents submitted by employees and reduce the risk of using inauthentic certificates.
ZUS Received Over 572,000 Applications Since January 2026
Since January 2026, ZUS has received over 572,000 applications for certificates allowing periods other than employment contracts to be added to work history.
