Electronic occupational health certificates are now live, introducing phased changes for issuing documents, medical recommendations, and mandatory digital compliance that every worker and employer must know. <\/p>\n
Electronic occupational health certificates have already been launched. From April 17, 2026, doctors can issue them in the e-health system, and employees can check the documents on their Internet Patient Account. Currently, a transitional period is underway\u2014the full obligation to issue certificates electronically will enter into force on October 18, 2026.<\/p>\n
The new solution allows occupational health doctors to issue certificates in electronic form. After issuance, the document is automatically saved as electronic medical documentation. The employee can find their certificate on the Internet Patient Account under the tab: Medical data \u2192 Occupational medicine. The document can be downloaded in PDF format, checked for its validity period, or forwarded to the employer electronically. The employee can still ask the doctor for a printout of the certificate. The paper version has not completely disappeared, but it is no longer the primary form of the document.<\/p>\n
The changes are introduced in stages. The first stage began on April 17, 2026, when doctors gained the ability to issue electronic occupational health certificates. Subsequent important dates are:<\/p>\n
For employees who received an electronic occupational health certificate after April 17, 2026, the most important change is the lack of the need to collect and store a paper document. After the examination, the doctor can issue an electronic certificate, which is saved in the e-health system and is available on the IPA. The employee can download the document in PDF format and pass it on to the employer. The change is of particular importance to people who frequently change jobs or perform periodic examinations in different places.<\/p>\n
From April 17, 2026, occupational health doctors can use the new function available in the gabinet.gov.pl application in the “Occupational Medicine” tab and in cabinet systems used by medical facilities. The course of the examination itself remains unchanged. The doctor still assesses the employee’s state of health and ability to work in a specific position. Only the method of preparing and storing the document has changed. After the examination, the doctor issues the certificate electronically, and the document automatically goes to the electronic medical documentation.<\/p>\n
The new regulations also protect the privacy of employees. The employer receives only the information necessary to determine whether the employee can perform work in a given position. They do not have access to detailed information regarding their state of health. If the doctor provides the employee with additional preventive recommendations, e.g. regarding health care, they will be visible only to the employee on the IPA.<\/p>\n
The changes also include recommendations issued by doctors. From July 18, 2026, doctors can issue them electronically. Recommendations may concern, for example, adjusting the workstation, the need to take specific preventive measures, changing the organization of work for health reasons, or using glasses while performing duties.<\/p>\n
Yes. Digitization does not mean that the employer loses the obligation to have information about the employee’s fitness for work. The occupational health certificate remains a document required before admitting an employee to work. The employer cannot allow a person who does not have current examinations required in a given position to perform duties. This applies to people starting employment, employees performing periodic examinations, people returning to work after a long absence, and employees performing work where harmful factors or conditions requiring special health control occur.<\/p>\n
Despite the launch of electronic certificates, the paper form of documents is still permissible during the transitional period. It will last until October 17, 2026. Until then, paper certificates may be issued, among others, in the event of technical problems or when other circumstances provided for in the regulations occur. From October 18, 2026, the electronic form will become mandatory.<\/p>\n
Occupational health certificates have joined the catalog of electronic medical documents available to patients. On the Internet Patient Account, you can already find, among others, e-prescriptions, e-referrals, laboratory test results, diagnostic test descriptions, hospital treatment information cards, and e-orders for medical devices.<\/p>\n
