Poland’s Finance Ministry Outlines How to Receive KSeF Invoices

Polish taxpayers must prepare to receive structured e-invoices via KSeF starting February 1, 2026, as Finance Ministry publishes detailed instructions.

Choose Your Receiving Tool (From February 1, 2026)

From February 1, taxpayers can receive KSeF invoices using free tools provided by the Ministry of Finance. It is recommended to select a tool now to ensure seamless invoice reception starting February 1.

Access KSeF

Taxpayers with a NIP number already have basic permissions to use KSeF. Non-sole proprietors without a qualified stamp must submit form ZAW-FA to a tax office to gain access.

Log in to KSeF

Visit ksef.podatki.gov.pl or log in via integrated accounting software. Access using one of the available authentication methods.

Search for Invoices

After logging in into a Ministry tool, navigate to the “Invoice List” tab to view all invoices issued to you in KSeF. Regularly check for new invoices from contractors.

Download Invoices

Received invoices can be downloaded. Downloaded and printed invoices are automatically marked with a KSeF code and number.

Alternative Invoice Access

Sellers may issue “transaction confirmations” with QR codes before assigning a KSeF number. After sending an invoice to KSeF, sellers can provide a visualization (e.g., printout or PDF) with a QR code containing the KSeF number. Scanning the QR code verifies if the invoice is in KSeF.
