ZUS Simplifies Benefit Claim Procedures Starting July 2026

Effective July 1, 2026, the Polish Social Insurance Institution (ZUS) has streamlined the benefit application process, authorizing electronic documents as legally equivalent to traditional paper forms for all claimants.

New Electronic Standards for Benefit Claims

As of July 1, 2026, regulations governing social insurance benefits have been simplified. Claimants can now submit applications and supporting documentation via electronic channels, including scanned files, corporate email, or the eZUS portal, alongside traditional paper methods.

Determining the Benefit Payer

The submission process depends on who manages the benefit payments. If a contribution payer reports up to 20 people for sickness insurance, ZUS handles the benefit. If the payer manages insurance for more than 20 individuals, the employer is responsible for determining entitlement and issuing payments.

Handling Misdirected Applications

If an insured person submits an application to an employer who is not responsible for the payment, the employer must forward the documents to ZUS. This can be done via paper or as an electronic attachment through the eZUS portal without requiring an additional paper copy.

Legal Equivalence of Electronic Files

Documents submitted electronically are legally binding and carry the same weight as physically signed, paper-based applications. Employers are mandated to forward necessary documentation to ZUS within seven days of receipt to ensure timely benefit processing.
