The Polish Social Insurance Institution (ZUS) has launched a new online tool allowing employers to easily verify the authenticity of employment history certificates.
ZUS Facilitates Employment History Confirmation for Employers
The Polish Social Insurance Institution (ZUS) has introduced a service enabling employers to verify electronic insurance certificates issued by ZUS for the purpose of calculating employment history.
ZUS announced the launch of a website feature that confirms the authenticity of these certificates.
New Regulations for Calculating Employment History
Starting January 1, 2026, employees in the public finance sector can request their employers to include periods of professional activity beyond traditional employment contracts towards their employment history.
These regulations are being implemented in stages, applying to the private sector from May 1, 2026.
How the Verification Tool Works
Insurance certificates for calculating employment history are issued by ZUS upon request. The institution has prepared a tool for employers to confirm the authenticity of electronic certificates, available on the ZUS website.
To access the service, users should navigate to zus.pl, click on “Search and Services,” and then select “Service for confirming the authenticity of certificates of insurance or contribution payments, in response to a USP request (service on the eZUS portal).”
Interpreting Verification Results
Upon uploading the employee-provided certificate, the system will display a result message to the employer.
A message stating “Certificate successfully verified” indicates a matching record in the ZUS database, while “Certificate verified as invalid” signifies no matching record exists.
Addressing Discrepancies and Limitations
ZUS notes that discrepancies may arise from alterations to the certificate’s content.
In such cases, the employee should personally visit a ZUS branch or schedule an e-visit to resolve the issue.
The service does not verify certificates issued based on other applications, such as those submitted on form US-7.
Volume of Requests and Certificates Issued
ZUS reported receiving 587,000 requests for employment history certificates in the first quarter of 2026, and has already issued nearly one million such certificates.
